Last updated: August 22, 2026

HVAC and Roof Corp, doing business as HVACandRoof (“HVACandRoof,” “we,” “us,” or “our”), operates a marketplace that connects homeowners with screened, independent mini-split, HVAC, and roofing contractors.

This Privacy Policy explains how we collect, use, disclose, and protect information when you visit our website, use our planning estimator, request contractor matches, apply to join our contractor network, call or communicate with us, or otherwise use our services.

Our services are offered in the United States and are intended for users located in the United States. HVAC and Roof Corp is located at 3561 S Archer Ave #1061, Chicago, IL 60609. Telephone: (872) 353-9127. Email: privacy@hvacandroof.site.

1. Information We Collect

The information we collect depends on how you use our website and services.

Information you provide

When you request a contractor match, contact us, or otherwise submit information, we may collect:

  • Your name;
  • Telephone number;
  • Email address, if provided;
  • Property address, ZIP code, or general service location;
  • Project type, property details, budget, timing, equipment preferences, and other project information;
  • Communications you send to us; and
  • Your communication and consent preferences.

Please do not submit highly sensitive information, such as Social Security numbers, financial-account credentials, medical information, or government identification numbers, through our homeowner request forms.

Planning-estimator information

Our planning estimator may collect information about your proposed project, such as project type, rooms, square footage, zones, equipment needs, installation conditions, and preferences.

You may use the estimator and view a preliminary planning result without providing your name or contact information. Estimator answers may be processed or temporarily stored in your browser so the estimator can function. If you submit a matching request, relevant estimator answers may become part of the project information we receive.

Estimator results are preliminary planning information, not professional engineering advice, a final equipment specification, or a contractor quote.

Contractor-applicant information

If you apply to join our contractor network, we may collect:

  • Business and contact information;
  • Service areas and trade specialties;
  • Business-registration and licensing information;
  • Insurance and workers’ compensation information;
  • Experience, certifications, references, and complaint-history information;
  • Documents supplied for screening or reverification; and
  • Communications and other information related to participation in our network.

We may verify contractor information using licensing authorities, insurers, public records, references, and other appropriate sources. If we ever obtain a consumer report about an applicant, as that term is defined by the Fair Credit Reporting Act, we will provide the separate disclosure and obtain the written authorization that law requires before doing so.

Information collected automatically

When you visit the website, our website infrastructure and service providers may automatically receive technical information such as:

  • Internet Protocol address;
  • Browser, device, and operating-system information;
  • Pages visited and referring pages;
  • Approximate location derived from an IP address;
  • Date, time, and duration of visits;
  • Website performance, error, and security information; and
  • Cookie, local-storage, or similar technology identifiers.

We use this information to operate, secure, troubleshoot, and improve the website. We do not intentionally provide names, telephone numbers, or homeowner project submissions to analytics services.

2. How We Use Information

We may use information to:

  • Provide the planning estimator and contractor-matching service;
  • Determine whether screened contractors serve your area;
  • Match your request with up to 3 screened, independent contractors;
  • Allow matched contractors to contact you about your project;
  • Respond to inquiries and provide customer support;
  • Communicate about your request, contractor application, or participation in the marketplace;
  • Screen, approve, manage, and periodically reverify contractors;
  • Monitor service quality and address complaints;
  • Operate, maintain, secure, and improve our website and services;
  • Detect misuse, fraud, security incidents, or unlawful activity;
  • Maintain business and consent records;
  • Enforce our agreements and protect our legal rights; and
  • Comply with applicable law and legal process.

We may create aggregated or deidentified information that cannot reasonably be linked to you and use it for legitimate business purposes.

3. How We Disclose Information

Matched contractors

When you expressly request matching and agree to the applicable disclosure at submission, we may disclose your contact information and relevant project details to no more than 3 screened, independent contractors selected for your request.

These contractors may contact you directly to discuss the project, ask follow-up questions, arrange a site visit, or provide an estimate.

Matched contractors are independent businesses, not employees or agents of HVACandRoof. Each contractor is responsible for its own privacy practices and its handling of information after receiving it. You should review a contractor’s privacy practices before providing additional or sensitive information directly to that contractor.

Service providers

We may disclose information to vendors that help us operate our business, such as providers of:

  • Website hosting and infrastructure;
  • Databases and secure data storage;
  • Communications, telephone, email, or text-messaging services;
  • Website performance and analytics tools;
  • Security, fraud prevention, and technical support; and
  • Professional, legal, accounting, or administrative services.

These providers may use information only as permitted by their agreements with us and applicable law.

Legal and safety purposes

We may disclose information when we reasonably believe disclosure is necessary to:

  • Comply with a law, regulation, subpoena, court order, or other legal process;
  • Protect the rights, safety, or property of HVACandRoof, our users, contractors, or others;
  • Detect, prevent, or investigate fraud, abuse, security incidents, or unlawful activity; or
  • Establish, exercise, or defend legal claims.

Business transactions

Information may be disclosed as part of a merger, financing, acquisition, reorganization, bankruptcy, sale of assets, or similar business transaction, subject to applicable legal requirements.

4. Sale and Sharing of Personal Information

HVACandRoof does not sell homeowner information to data brokers or distribute homeowner requests to broad marketing lists.

Our matching service does involve disclosing a homeowner’s information to up to 3 selected independent contractors, with the homeowner’s direction and consent, so those contractors can respond to the requested project.

HVACandRoof may receive fees or commissions from contractors for qualified introductions or completed projects. Although we do not treat the homeowner-directed matching described above as a sale of data, some privacy laws may define “sale,” “sharing,” or similar terms more broadly.

You may contact us using the information below if you have questions about these disclosures or wish to exercise an applicable privacy right.

5. Calls and Text Messages

If you provide a telephone number and consent to communications, HVACandRoof may call or text you about your inquiry or matching request. Where clearly disclosed at the point of submission, the independent contractors matched to your request may also call or text you about that project.

Consent to receive automated or marketing calls or texts is not a condition of purchasing goods or services or receiving a preliminary estimator result. Message frequency varies. Message and data rates may apply.

You can opt out of texts from HVACandRoof by replying STOP. You may also withdraw consent through any other reasonable method that clearly communicates your request, including calling us at (872) 353-9127 or emailing privacy@hvacandroof.site. For help, reply HELP or call us. We honor a revocation request within ten business days of receiving it, and a request to stop applies to all of our marketing calls and texts unless you tell us you want to keep receiving a specific type.

An opt-out request sent to HVACandRoof applies to HVACandRoof communications. Because matched contractors are independent businesses, you should also tell an individual contractor directly if you no longer want communications from that contractor. You may contact us if you need assistance addressing unwanted contractor communications.

Wireless carriers are not responsible for delayed or undelivered messages.

6. Cookies and Browser Storage

Our website may use cookies, local storage, or similar technologies that are necessary for website operation, security, language preferences, estimator functionality, and performance measurement.

The estimator may keep project answers in your browser while you use it. This does not mean that information submitted through a matching request remains only in your browser; once submitted, it may be transmitted to and retained by us as described in this policy.

You can usually control cookies or clear browser storage through your browser settings. Disabling these technologies may affect website functionality.

7. Data Retention

We retain personal information only for as long as reasonably necessary for the purposes described in this policy, including providing the requested service, maintaining consent and transaction records, resolving complaints, screening contractors, protecting against fraud, and meeting legal, accounting, or reporting obligations.

Unless a longer period is required by law or needed for a pending dispute:

  • Homeowner matching requests, together with records of the consent you gave, are retained for five years;
  • Contractor applicant and screening files are retained for the duration of participation in the network and four years afterward;
  • Correspondence with our team is retained for three years; and
  • Website server, performance, and security logs are retained for approximately ninety days.

When information is no longer reasonably needed, we delete, anonymize, or securely dispose of it. Contractors that receive a matching request determine their own retention practices for information in their possession.

8. Data Security

We use reasonable administrative, technical, and organizational safeguards designed to protect personal information against unauthorized access, alteration, loss, misuse, or disclosure.

No website, electronic transmission, or storage system can be guaranteed to be completely secure. You should therefore use care when submitting information online.

9. Your Choices and Privacy Requests

Depending on where you live and subject to applicable exceptions, you may have the right to:

  • Request information about personal information we maintain about you;
  • Request access to or a copy of that information;
  • Ask us to correct inaccurate information;
  • Ask us to delete information;
  • Withdraw communication consent;
  • Opt out of certain disclosures where required by law; or
  • Appeal our response to a request where applicable.

To submit a request, email privacy@hvacandroof.site, call (872) 353-9127, or write to HVAC and Roof Corp, Attn: Privacy Request, 3561 S Archer Ave #1061, Chicago, IL 60609.

Please describe your request and provide enough information for us to locate the relevant records. We may need to verify your identity before completing certain requests. We generally respond within forty-five days and will tell you if we need an additional forty-five days. We will not unlawfully discriminate against you for exercising an applicable privacy right.

An authorized agent may submit a request when permitted by law, but we may require proof of the agent’s authority and verification of the consumer’s identity.

10. Children’s Privacy

Our website and services are intended for adults seeking property services or applying as contractors. They are not directed to children under 13, and we do not knowingly collect personal information from children under 13. We also do not knowingly sell or share the personal information of consumers under 16.

If you believe a child has submitted personal information to us, please contact us so we can review and, where appropriate, delete it.

11. Third-Party Websites and Contractors

Our website may link to third-party websites or services. We are not responsible for the privacy, security, or content practices of those third parties.

Independent contractors introduced through HVACandRoof control their own estimates, agreements, communications, workmanship, warranties, and privacy practices. This Privacy Policy applies to HVACandRoof, not to the contractor’s separate business operations.

12. Changes to This Policy

We may update this Privacy Policy periodically to reflect changes in our services, data practices, or legal obligations.

When we make changes, we will update the “Last updated” date at the top of the policy. If required by law, we will provide additional notice or obtain consent before applying material changes to previously collected information.
